During the course of a public side reservation or request, you can associate Requirements for additional information to be collected by adding Custom Forms, Required Documents, or Questions here, under the requirements tab of a facility. Any required documents or custom forms that exist in your system will be available to associate with this facility by clicking either of these two links.
Questions for facilities are slightly different and will need to be manually added at each facility individually. Questions added to the requirements tab of a Parent Facility can be automatically required at all Facility Areas within the Parent Facility but to ask the same questions in a separate Parent Facility and its areas will require additional manual entry of that question at that second Parent Facility’s Requirements Tab.
Facilities Set to Allow Requests:
For facilities that are set up to allow Requests instead of direct public side reservations, Questions are a wonderful way to gather additional information if reservation add-ons will be used.
Reservation add-ons are associated with the checkout process and Public Side Facility Requests do not reach the checkout process when initially submitted. When approving a facility request on the management side, you as a staff member will have the option to manually include any Reservation Add-Ons to the request before finalizing and creating a balance due.
If the reservation add-ons require additional information from the public to determine whether they’re needed, you can add questions that will provide you with that information. For example, if you charge extra for access to an electrical outlet at a park pavilion, you can ask Will you need electricity? As a multiple choice question and have it required for requests. If the customer answers “Yes” you will know you will need to include the Reservation Add-on for electricity when processing the request on the management side to add that additional charge to their reservation.
